Booking

Venues, bookers, and the gigs you're chasing, from first pitch to booked. Owners and admins only.

The Booking page is in the Schedule group of the menu. Its tabs sit in two sections: Deals (Pipeline, Follow-ups, Templates) and Directory (Venues, Contacts). Venues and Contacts are in every plan; the Deals tabs are included in Manager and Ultimate, and show a lock otherwise.

Pipeline

A deal is a gig you're chasing. Add one for each venue you want to pitch, then drag it along as the conversation moves: Lead, Contacted, Negotiating, On hold, Booked, or Lost. Above the board, Open deals counts your open deals and totals their fees. Booked and Lost count the deals you won and lost and total their fees, for the date range you pick beside them: this year (the default), last year, the next 12 months, all time, or a custom From and To. Deals match on their date, and a deal with no date counts only under all time. Your choice is remembered for the band in this browser.

When a deal lands in Booked, Bandleader offers to create the gig from it. The venue, date, contact, times and length, and the money carry over: the fee becomes the gig's guarantee and gross pay, and the deposit, booker name, cuts, and paying band members fill in the gig's Financials tab.

Under Schedule & terms in the deal's edit dialog, give the length the way you'd say it on the phone: the hours the band plays and how many breaks, like 4 hours with 2 breaks. Start and end times are there too, but you never need them, or set lengths in minutes. A deal saved with a number of sets and a set length in minutes opens with those worked out as hours and breaks.

Open Financials in the deal's edit dialog to record the fee and the pay split while you negotiate, the same way the gig form does: the fee, a deposit, who booked it, the booker's, production, and band fund cuts plus any custom cuts (each as a percentage of the fee or a dollar amount), and how many members are paid. Resulting Pay works out each member's share as you type, and the hourly rate from the fee and the length's hours, and the deal page lists all of it under the fee.

The rest of the gig form's Booking tab is on the deal too. Pick the Subs playing and Crew working once they're lined up (each shows only when the band has someone in that role), fill in your band's own fields under Custom fields, the same ones every gig's booking details have, with files attached right on the deal, and add to them with Manage Fields. Subs and crew don't see a deal; when you create the gig from it they're assigned to the gig, the custom fields fill in, and the deal's notes become the gig's Internal Notes. If you start that gig from a template too, the deal's values win, the template fills any custom field the deal left empty, its subs and crew join the deal's, and its notes follow the deal's. A file attached on the deal is the same file on the gig: removing it from one only takes it off that record, and the other still opens it.

Follow-ups

Add a follow-up from any deal, venue, or contact ("Call back about October dates", due next week) and it shows up here on the day, sorted into Overdue, Today, Coming up, and No date. Follow-ups due today or earlier are counted on the Booking item in the menu.

Venues

Every place you've played or pitched, with its contacts, past gigs, and notes. Venues you type into a gig show up here automatically, so the list builds itself as you add gigs.

Contacts

The bookers, owners, managers, agents, promoters, and sound techs you work with, each linked to their venues and deals.

Templates

Pitch emails you send over and over. Use them from the Email button on any deal, venue, or contact. Start with the starter templates (a first pitch and a follow-up), then make them sound like you.
